of the Community Centre Committee Meeting – 7th April
2006
Present: Sue Clayton, Wendy Mundy, Malcolm Allen, Ron Martin, Ron Jones, Barry Curtis, Peter Allen
Apologies: Bob Mercer, Val Harbour, Mike Murphy
Matters Arising:
- Still no cheque received from parent re broken window.
- The roof has now been repaired.
- £50 received from the Cross Stores for the old tables.
- The child’s painting racks to be donated to the school if required.
Chairman’s Report
- Lottery Licence received and passed to Treasurer.
- Curtain material and header tape purchased. Jill Curtis will make up curtains over the next month or so.
- Chairman intends to build some racking in the cleaning cupboard to improve storage.
- Chairman confirmed that the COCC is a member of the DVHA (Dorset Village Halls Association).
- The Parish Council has asked for our comments on the re-instatement of the path across the Playing Field to give children access to the school. The committee was unanimous in opposition to this proposal as it would interfere with the cricket outfield. It was further recommended that the gate from the car park to the old temporary path be removed and that the gate between the recreation ground and the school be removed and the hedge reinstated.
- Chairman reported that a joint AGM will be held together with the Village Hall committee and the Parish council annual meeting on Friday 21st April at 7.30pm in the village Hall.
- The chairman has carried out a risk assessment of the hall in conjunction with John Gill from the Parish Council.
Treasurer’s Report
- Treasurer presented the final accounts for 2005-2006
- Income up by £700, lettings and donations up.
- Increase in electricity charges and still going up.
- Peter will have the accounts audited by the AGM on 21st April.
- Current balances are Current Account £1403, Investment Account £201.
Booking Secretary’s Report
- Ron presented an analysis of bookings throughout the year showing there were 224 in total. To summarise there were 25 Keep Fit classes, 46 Toddlers Group, 24 Youth club, 72 Choir practices (Minstrels and Mill singers), 10 Cricket matches, 11 Football matches and 36 other sundry meetings.
- There is an enquiry to hold a regular Yoga class and another for a Pilgrimage group of 24 to sleep over night on Tuesday 30th May during their walk from Sherborne to Christchurch. The committee suggested a special fee of £75.
- Ron advised that Sharon Sherwood is now running the Toddlers Group in place of Carly.
Review of Booking Fees
- The committee agreed that in view of increased costs, particularly electricity and insurance it would be necessary to increase the scale of charges for using the hall and the playing field.
- The increases, subject to confirmation at the AGM will be as follows:
Clubs - £8.50
increased to £9.50
Youth Club - £7.50
increased to £8.00
Casual Users - £13.00
increased to £15.00
Childrens Parties - £20.00
increased to £25.00
Weddings/Parties - £40
increased to £50.00
Football & Cricket matches - £20.00
increased to £25.00
Fund Raising
- It was agreed that as funds are low following the refurbishment work carried out last year we would need to hold some more fund raising events.
- It was suggested that we could apply to “Awards for All” for funding, but it would need to be a specific project, such as refurbishment of the showers or a basketball goal
Any Other Business
- Ron reminded us that we agreed to have ‘maintenance’ as a regular agenda item.
Date of the next Meeting
The next meeting will be the AGM on Friday 21st April 2006 followed by a regular committee meeting on Friday 9th June 2006 at the Community Centre
